Free for 45 days

Free expense tracker for a hotel, restaurant or shop — 45 days, the full product

What came in by cash, UPI and card against what went out, on the right business day, with suppliers and what you owe them — free for 45 days, set up for you.

Free for 45 days · no card · we do the setup

Nivasik’s expenses and day book are free for 45 days: what came in by cash, UPI and card against what went out and what is left, on the property’s business date, with expense categories, vendors, supplier bills and what you owe them.

After the trial, expenses and the day book are in the Pro plan at ₹4,999 per property a month; a restaurant or shop on the POS alone (₹1,499 per outlet) keeps its supplier bills, cash drawer and day-end report. If you stop, nothing is deleted.

What it keeps

  • A day book: what came in by cash, UPI and card, against what went out, and what is left.
  • The business date, so a 00:30 bill belongs to the night that took it, not to the next day.
  • Settlements kept apart: company-account and delivery-app payments are not counted as cash in the drawer.
  • Expense categories — salary, maintenance, fuel, rent, stock, utilities and more — with how each was paid.
  • Vendors, supplier bills and what you owe them, and purchase orders.
  • A cash drawer per counter with a shift close.
  • For your accountant: GST invoices, GSTR-1 data and a Tally import file (CSV).

Why the business date matters

A hotel or a restaurant does not close at midnight. A bill at half past midnight belongs to the evening that earned it; filed under the calendar date, it lands in the next day’s takings and neither day reconciles with the drawer. Nivasik files every payment and expense under the business day that took it, so the day book and the cash in hand agree.

What it does not do

Said plainly, before you start

  • No e-invoice (IRN) or e-way bill; GST data is exported, not filed.
  • Tally: an import file (CSV), not a live sync.
  • It does not read your bank statement: expenses are entered as they happen, or come from supplier bills and salaries paid.

Keeping a day book in a notebook — the free way, done right

A notebook day book costs nothing and works, if it is kept every day. Rule these columns across a double page:

A day book in columns
ColumnWhat goes in it
DateThe business day — a bill after midnight goes on the evening that took it
What forOne line per movement of money: “Milk, 20 L”, “Room 104, 2 nights”
Paid to / received fromThe supplier, guest or customer
Cash in · UPI and card inMoney received, split by how it came
Cash out · UPI and bank outMoney spent, split by how it left
Cash in handYesterday’s cash + cash in − cash out, carried line to line

Count the drawer at closing and write the difference, however small, with the reason. Keep payments from company accounts and delivery apps out of the cash column: they are money owed to you, not money in the drawer.

The genuinely free alternatives, and what they cost

There are ways to do this without paying anybody. Each is worth knowing, and each has a cost that is not on a price list.

A notebook and a calculator

Costs almost nothing and works in a power cut. What it costs is time: every total is added by hand, nobody away from the desk can see it, and an entry can be changed later with nothing to show it was.

A spreadsheet

Free, flexible, and good for a list one person keeps. It struggles when three people edit it on three phones, when a formula is typed over, or when you need to know what it said last Tuesday.

A free edition of a paid product

Some software has a free edition with limits on rooms, bills or users. Read what the limit is, and what happens to your records the day you pass it.

Questions people ask

What is a simple free way to track business expenses?

A notebook day book, kept every day: one line per movement of money, cash and UPI in separate columns, and the drawer counted at closing. The layout is on this page. Nivasik does the same thing on the phone, free for 45 days.

What is a day book?

A daily record of every rupee that came in and went out, and what is left in hand at the end of the day. It is the first book an accountant asks for.

Can it keep cash and UPI apart?

Yes. Money in and out is recorded by method — cash, UPI, card or bank — and company-account and delivery-app settlements are kept apart from the drawer.

Does it connect to my bank?

No. It does not read your bank statement: expenses are entered as they happen, or come from supplier bills and salaries paid.

Can my accountant get the figures?

Yes: GST invoices, GSTR-1 data and a Tally import file (CSV). It does not file returns or sync with Tally live.
