The menu a cafe actually has

Choices and extras are two different things, and the bill treats them differently.

  • Pick-one choices replace the price: a regular or a large is a different price, not an extra charge on top of a guess.
  • Extras add to it: an extra shot, a different milk, whipped cream.
  • Combos — a coffee and a croissant at one price — with each part still coming off stock.
  • Happy hours and coupons set up in advance, so nobody types a discount at the till.

Counter first, then the screen

Most cafes take the order at the counter. The customer gets a token number, the order reaches the coffee station’s screen, and the order-status board shows the number when it is ready — no shouting across the room. A second screen can face the queue and show the bill as it is built.

For the tables, a QR on each one lets a customer order from their phone; the order lands on the same station screens as the counter’s, and payment is taken at the counter when they leave.

Stock by the cup

Recipes per drink

So many grams of beans and millilitres of milk in each cup: the stock comes off as it sells, and the reorder list knows before you run out.

Milk in litres

Liquids are kept in millilitres and shown in litres, and a delivery of milk is costed per litre from what you paid.

Wastage with a reason

Spoiled milk, a dropped cake, a staff meal or a sample — each one taken off the shelf with its reason on record.

What a drink earns

Cost to make beside what it sells for, so a price rise is decided on numbers.

A cafe day

  1. 07:30 — open the counter; the milk delivery goes in on the restock sheet.
  2. 09:00 — the morning rush: tokens called from the board, points added to regulars.
  3. 13:00 — tables order by QR; the kitchen screen takes the sandwiches, the coffee station the drinks.
  4. 17:00 — happy hour starts on its own, at the time you set.
  5. 21:00 — the unsold cakes are written off with a reason, the drawer is counted, and End day prints the report.

  • No card terminal or payment gateway; table QR orders are paid at the counter.
  • The kitchen and coffee-station screens need the internet.
  • Swiggy and Zomato orders are typed in from the platform’s own tablet.

Questions people ask

Can customers order from their table?

Yes. A QR on each table opens your menu on the customer’s phone; the order goes to the station screens, and payment is taken at the counter.

Is there a token display for pick-up orders?

Yes. An order-status board shows each token number as its order becomes ready, and a customer-facing screen can show the bill as it is built.

Can I run a loyalty programme?

Yes — points for customers who give a mobile number, earned on what they paid after discounts. Points are taken off the moment they are applied, so they cannot be spent twice.

Can I track coffee and milk stock?
