All-in-one vs separate PMS, POS and payroll apps
A hotel with a restaurant can run a PMS from one company, a POS from another, payroll in a third app and expenses in Excel — or put all of it on one set of books. Both work. This page is about what each costs you in practice.

Separate specialist apps can go deeper in their own area — delivery-app order feeds, certified connections to booking sites, payment terminals. One system on one ledger avoids the joins between them: a restaurant bill that lands on the room's folio, one staff list with one set of permissions, and one day book that already holds the rooms, the counter, the expenses and the salaries.
Choose separate apps when one area needs a depth only a specialist has. Choose one ledger when the joins between areas are where your money leaks.
At a glance
| Question | Separate apps | One ledger (Nivasik) |
|---|---|---|
| A staying guest's restaurant bill | Carried to the desk, or passed across if the two apps have a connection. | Posted to the room's folio from the POS, and on the final bill. |
| The day's money | Added up across apps and a spreadsheet. | One day book — rooms, counter, expenses and salaries — on one business date. |
| Staff and permissions | A list in each app; a leaver removed from each. | One staff list, with per-person module and till permissions. |
| Who changed what | Each app's own log, if it keeps one. | One record across the property, which cannot be edited or deleted. |
| Payroll | A payroll app of its own — the one to have where PF, ESI, professional tax or TDS must be calculated and filed. | Salary and payslips: pay by the days worked, advances, payslips frozen once paid. No PF, ESI, professional tax or TDS. |
| Depth in one area | A specialist can go further — see below. | Broad; what it does not do is listed on each page. |
| Logins, vendors, invoices | One of each per app. | One. |
| If one part is weak | Replace that app alone. | Live with it, or run a specialist beside it — with no connection between the two. |
| Price | Several subscriptions, each priced its own way. | One flat price per property: ₹2,999 Core, ₹4,999 Pro, ₹2,499 per property on Group; POS ₹1,499 per outlet. |
Not every line is in every plan. The ticket queue and QR requests are in Core (₹2,999); the PMS, GST invoices and Form C in Pro (₹4,999); people and pay, the city ledger, the booking page and channel sync in Group (₹2,499 per property, from three); the POS is ₹1,499 per outlet. All of it is unlocked during the 45-day trial. See what each plan includes.
Where one ledger saves money
The expensive mistakes in a hotel with a restaurant are rarely inside one app. They happen in the joins:
- Room service that never reaches the bill. A dinner charged to room 204 in one app has to arrive on room 204's folio in another. When it does not, the guest leaves without paying for it.
- Free things that are worth nothing on paper. A complimentary breakfast recorded as ₹0 cannot be counted at the end of the month. On one ledger it is recorded at its real value, with a reason, and shows on the bill at zero.
- Two days that disagree. A 00:30 bar bill lands on one date in the POS and another in the hotel's close. One business date for everything ends that.
- Cash that is counted twice or not at all. A staff advance paid from the restaurant drawer is an expense, a drawer movement and a payslip deduction — three apps, or one record.
- Permissions that outlive the person. A cashier who leaves has to be removed from every app; on one staff list it is once.
Where specialist apps go deeper
This is the honest half, and it is specific:
- Delivery apps. Swiggy and Zomato make their order feeds available only to approved POS vendors. In Nivasik those orders are punched in at the counter, with the commission booked correctly; a POS with a direct feed saves that typing.
- Booking sites. A certified channel manager pushes rates and inventory to sites such as MakeMyTrip, Goibibo and Agoda under a connectivity agreement with each. Nivasik syncs calendars with Airbnb and Booking.com only.
- Payments. Gateways and card or UPI terminals wired into billing. Nivasik records payments by method and shows a UPI QR code for the exact amount; it has no gateway and no terminal integration.
- Tax and accounts. E-invoicing (IRN) and a live connection to accounting software. Nivasik exports GST data and a Tally import file (CSV).
- Statutory payroll. PF, ESI, professional tax and TDS, calculated and filed. Nivasik's payroll is salary and payslips — pay by the days worked, advances, payslips frozen once paid — and does none of that; where it is needed, a dedicated payroll app is the better choice.
How to decide
- Find where money leaks today — between areas (room service, cash, advances) or inside one (overbookings on booking sites, delivery orders typed wrong).
- Name the one area that needs depth you cannot do without. If there is one, that specialist comes first.
- Count the logins and the monthly bills, and the hours someone spends carrying numbers between apps.
- Ask every vendor what they do not do. A vendor who cannot answer is telling you something.
When the other option is better
Said plainly, because it is true for some properties and they should know before they buy.
Delivery apps are a large share of your orders
A POS with a direct Swiggy and Zomato feed saves typing every order; in Nivasik they are punched in.
Most of your bookings come from MakeMyTrip, Goibibo or Agoda
You need a certified channel manager that pushes rates and inventory to them. Nivasik does not.
You need card terminals or online prepayment in the billing
Nivasik has no payment gateway and no terminal integration.
You already run a PMS you like
Then buy a POS that connects to it. Nivasik's POS can be bought on its own, but it does not connect to another company's PMS.
You need statutory payroll
Where PF, ESI, professional tax or TDS have to be calculated and filed, a dedicated payroll app is the better choice. Nivasik's payroll is salary and payslips, and files nothing.
You issue many bills that must be e-invoiced
Nivasik does not connect to the government's Invoice Registration Portal, so software that does is the better fit for that part. What e-invoicing is and who needs it, with its sources.
When Nivasik is the better choice
A hotel, hostel or resort with a café, restaurant or bar
Orders post to rooms, complimentary items keep their value, and there is one close for the day.
A small team where everyone does a bit of everything
One login, one staff list, one set of permissions — and one place to look.
The owner wants one day book
What came in by cash, UPI and card, against what went out — including salaries and advances — without a spreadsheet in between.
A shop that bills, stocks and pays staff
POS, stock, expenses and people and pay on one set of books.
What Nivasik does not do
- No connection to another company's PMS, POS or channel manager.
- Swiggy and Zomato orders are punched in at the counter.
- No payment gateway, no card or UPI terminal integration.
- No e-invoice (IRN) or e-way bill; Tally is an import file, not a live connection.
- Payroll is salary and payslips, not statutory payroll: it does not calculate PF, ESI, professional tax or TDS, does not file returns, and does not move money to anyone's bank account.
- Several properties are separate: there is no single screen that adds them all together yet.
Questions people ask
Can we use Nivasik's POS without its PMS?
Yes. The POS is ₹1,499 per outlet a month, on any plan or on its own for a restaurant or shop that is not a hotel.
Does Nivasik connect to other PMS or POS software?
No. Its parts work together because they are one system; there is no connection to another company's PMS, POS or channel manager. Data leaves as exports — GST data, a Tally import file (CSV) — and on request.
Does Nivasik do PF, ESI and TDS?
No. Nivasik's payroll is salary and payslips: pay by the days worked, advances, and payslips frozen once paid. It does not calculate PF, ESI, professional tax or TDS and does not file returns — where those are needed, a dedicated payroll app is the better choice.
Is all-in-one cheaper than separate apps?
It depends on what you would otherwise buy. Nivasik is one flat price per property per month, from ₹2,999, with the POS at ₹1,499 per outlet. Add up your separate subscriptions and the hours spent carrying numbers between them, and compare like for like.
