Nivasik keeps every AC, geyser, lift and spare as an asset with a state — in service, in store, in repair, missing or written off — and a movement log that cannot be edited. Preventive maintenance schedules, weekly to yearly, raise a ticket on the day they fall due, repairs go to a named vendor, and what a repair costs is tied to the ticket, the asset and the vendor.

Marking an asset missing or writing it off needs a reason; the database refuses either without one.

Preventive maintenance

The work you do so that a ticket never has to be raised: a filter cleaned every 90 days, a geyser serviced before winter.

A schedule names the job — “AC quarterly service” — the asset it is for, how often it recurs (weekly, monthly, quarterly, half-yearly or yearly), the vendor who does it and the next due date. On the day it falls due, Nivasik raises the ticket itself, and it goes to maintenance like any other.

The screen shows what is overdue, what falls due in the next fourteen days, and the share of schedules that are on time. With no schedules it shows a dash, not a perfect score: nothing to comply with is not an achievement.

Repairs and what they cost

  • Tickets from everywhere: a guest’s QR request, a fault found by housekeeping, a staff member on the floor, or a schedule falling due.
  • Assigned by rule to the plumber, the electrician or the maintenance lead, with a resolve target and escalation.
  • Sent for repair with the vendor named; back from repair, straight into a room or into store — and into store puts the stock line back up by one.
  • Costs tied to their cause: an expense can point at the ticket, the asset, the room and the vendor, so “what has this lift cost us this year” has an answer.
  • Recurring contracts — the AMC, the diesel for the generator — as standing orders that come up on the day they are due.
  • Spares as stock with reorder levels, so the part is on the shelf before the breakdown.

A breakdown, handled

  1. 09:14 — a guest in 207 scans the QR: AC not cooling.
  2. 09:15 — the electrician’s phone rings; the acknowledge target is running.
  3. 09:40 — the compressor needs a vendor. The AC is marked in repair with the vendor named, and 207 is marked out of order on the housekeeping board.
  4. Two days later — the unit comes back and is fitted; the vendor’s bill is logged against the ticket, the asset and the vendor.
  5. Next quarter — the schedule for that AC raises its service ticket before summer does.

Not included, said plainly

  • It does not read sensors, meters or building-management systems; everything is reported by a person or raised by a schedule.
  • Vendors do not get their own login; they are contacts you assign repairs and costs to.
  • Preventive maintenance, vendors and expenses need the Pro plan; Core has the asset register and tickets.
  • The maintenance screens need an internet connection.

Questions people ask

What is preventive maintenance in a hotel?

Servicing equipment on a schedule before it fails — an AC before summer, a geyser before winter, a lift on its contract date. In Nivasik each schedule raises its own ticket on the day it falls due.

What should an asset register record?

What the item is, where it is, what state it is in and everything that has happened to it. Nivasik keeps the state and an uneditable movement log, including who moved it and why.

Can I track AMC renewals?

Yes, as standing orders: what recurs, how often and when it is next due. It shows on the Expenses page and the Command Center on the day.

Can housekeeping report a broken item?

Yes. The fault is raised from the room’s tile on the housekeeping board, becomes a maintenance ticket, and can take the room off sale in the same step.

Can offices and shops track their equipment the same way?

Yes. An office tracks its ACs, pantry machines and furniture the same way; a shop’s categories include equipment down, a fridge or freezer, and power, gas or water.
