Housekeeping
Hotel housekeeping software with a live room status board
Every room’s state on one board — and the person walking the floor with a phone is the one who changes it.
Free for 45 days · no card · we do the setup
Nivasik’s housekeeping board shows every room as dirty, clean, inspected, out of order or out of service, next to whether it is occupied, departing or arriving today. Housekeepers change it from their own phone, departed rooms turn dirty in one tap, and a fault found while cleaning becomes a maintenance ticket, with the room taken off sale if it cannot be sold.
The housekeeping board comes with the Pro plan at ₹4,999 per property a month, free for 45 days.
Five states, and the one tap that comes next
Each tile offers only the thing that happens next to a room in real life; everything else is one sheet away.
| Status | What it means | The next tap on the tile |
|---|---|---|
| Dirty | Needs cleaning | Mark clean |
| Clean | Cleaned, not yet checked | Inspected |
| Inspected | Checked and ready to sell | Mark dirty, after the next stay |
| Out of order | Broken — cannot be sold until maintenance fixes it | Back in service |
| Out of service | Closed on purpose — a renovation, an off-season wing | Back in service |
What the board does
- Filters for the question being asked: needs cleaning, departing, arriving, occupied, vacant, clean, out of order.
- Occupancy from the front desk on every tile: occupied until a date, due out today, overdue, or vacant.
- “Mark departed rooms dirty” in one tap once check-outs are done.
- A history per room: every change, by whom and when, with notes.
- Public areas on the same board — lobby, washrooms, corridors, reception — in their own section, cleaned and tracked without occupancy.
- Dorm beds as units, so a hostel’s board works bed by bed.
- The business date, so the night receptionist at 01:00 is still working yesterday’s board.
When a housekeeper finds something broken
The fault is reported from the room’s own tile: a line saying what is wrong, a priority, and one tick to take the room out of order. It becomes a maintenance ticket assigned by your rule for maintenance, with that category’s resolve target already running, and the screen says whether maintenance was actually notified — a written ticket and a person who knows about it are two different facts.
Towels, toiletries and linen are consumables issued into rooms from inventory; anything left behind by a guest goes into lost and found with where it was found; and rooms cleaned count towards each person’s productivity.
A housekeeping day
- Morning briefing from the board: what is departing, what is arriving, and which rooms were left dirty overnight.
- Check-outs done: one tap marks every departed room dirty.
- Rooms turned: each housekeeper marks their rooms clean on their phone; a supervisor walks and marks them inspected.
- Faults go to maintenance from the tile; an unsellable room goes out of order in the same step.
- The front desk sees it live, so it can tell which rooms are ready before sending an arrival up.
What it does not do
Clear about what the board is — and is not.
Not included, said plainly
- Rooms are not auto-assigned to named housekeepers or put into a cleaning route; the board is shared, and whoever cleans a room marks it.
- There is no minibar or room-charge posting from the board; charges go on the folio at the desk or from the POS.
- The board needs an internet connection; hotel screens do not work offline.
What it costs
The housekeeping board is part of Pro at ₹4,999 per property a month, alongside the rest of the PMS. From three properties, Group at ₹2,499 per property includes it at each.
Questions people ask
What is a housekeeping board in a hotel?
A single view of every room’s cleaning status beside its occupancy, so the front desk and housekeeping read the same truth. In Nivasik each room is dirty, clean, inspected, out of order or out of service.
Can housekeepers use it on their phone?
Yes — the board is built for the person walking the floor, not only for the manager. It runs in the browser or the Android app, and switches to Hindi with one tap.
What is the difference between out of order and out of service?
Out of order means broken: it cannot be sold until maintenance fixes it. Out of service means closed on purpose, such as a renovation or an off-season wing.
Does the front desk see when a room is ready?
Yes. The front desk reads the same board, so an inspected room is visibly ready to sell and a dirty one visibly is not.
Does it work for hostels with dorm beds?
Yes. Each dorm bed is its own unit, so the board, the rack and the QR codes all work bed by bed.
